We are looking for a competent and creative Executive Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to Co-Founder's working life and communication.

The Executive Administrative Assistant will be responsible for setting and maintaining the Calendar of appointments, booking and tracking company travel, receive incoming calls and emails, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

  • Act as the point of contact between the Co-Founder and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Maintain the calendar, arrange meetings and appointments and provide reminders
  • Make travel arrangements
  • Take dictation and minutes and accurately enter data
  • Produce reports, presentations, and briefs
  • Develop and carry out an efficient documentation and filing system
  • Work on special projects as needed

Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 9:00 a.m. to 6 p.m. and additional time may be required to meet business and department needs.

No travel is expected for this position. 

Required Education and Experience
  1. Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position at the highest level as this position will support the Co-Founder of the entire organization.
  2. Full comprehension of office management systems and procedures
  3. Excellent knowledge of MS Office
  4. Proficiency in English
  5. Exemplary planning and time management skills
  6. Up-to-date with advancements in office gadgets and applications
  7. Ability to multitask and prioritize daily workload
  8. High level verbal and written communications skills
  9. Discretion and confidentiality
  10. Associate’s Degree; additional qualification as personal assistant would be considered an advantage
  11. Proven track record in a fast-paced environment.

Preferred Education and Experience
  1. Four-year college degree.
