We are looking for a motivated Executive Assistant (EA) to provide dedicated administrative support to a co-founder of a rapidly growing and fast-paced company. You will work on a one-to-one basis on a variety of tasks related to the executive’s daily schedule and allocation of time.

Summary 
The Executive Assistant will be responsible for setting and maintaining appointments, including calls and meetings, booking and tracking travel, receiving incoming calls and taking messages as well as additional administrative duties.

  • Oversee communication channels and access to the President
  • Rapidly receive and execute on scheduling requests including setting up calls and meetings efficiently using good judgment.
  • Receive incoming calls, take messages, and send reminders for scheduled calls for the executive.
  • Draft communications from the Office of the President as needed
  • Work with the President to manage priorities on a daily, weekly, and long-term basis
  • Record meeting minutes and ensure we have clear action items and follow-up after the meetings; provide status updates on said action items
  • Provides detailed data, information and resources in preparation for meetings.
  • Write and submit reports to the Office of the President in all matters of importance
  • Book travel arrangements and ensure all travel needs are met and followed through in a timely manner. If needed, be able to re-route travel plans quickly and creatively.
  • Partner with the Admin Department to arrange meeting space and ensure appointments at Corporate offices are executed smoothly.
  • Work on special projects as needed.

Required Education and Experience
  1. Proven experience as an executive administrative assistant, senior executive assistant or in other secretarial position
  2. Full comprehension of office management systems and procedures
  3. Excellent knowledge of MS Office
  4. Proficiency in English
  5. Exemplary planning and time management skills
  6. Up-to-date with advancements in office gadgets and applications
  7. Ability to multitask and prioritize daily workload
  8. High level verbal and written communications skills
  9. Discretion and confidentiality
  10. Associate’s Degree; additional qualification as personal assistant would be considered an advantage
  11. Proven track record in a fast-paced environment.
 
Preferred Education and Experience
  1. Four-year college degree.
