Assistant Property Manager, Retail Facility Department
Position Summary:
Under the supervision of the Property Manager, the Assistant Property Manager is responsible for assisting in all areas defined as a part of the Property Managers job description. 
The Assistant Property Manager should be capable of managing the property in the temporary absence of the Property Manager. This includes, but not limited to, being able to perform all of the following essential functions. 
Essential Functions:
  • Handle routine daily operations relations through the coordination of service order requests and administration of maintenance services.
  • Provide high quality of customer service and cooperate with other departments within the company.
  • Maintain and update insurance certificate files for all tenants and contractors performing work at the properties.
  • Assist with verification of all vendor invoices and create payment requests.
  • Vendor coordination.
  • Handle miscellaneous assignments as requested by management.
  • Assist Property Manager in preparation of property budgets.
  • Assist Property Manager in building inspections.
  • Assists in coordination of maintenance and necessary services and follows up to ensure timely completion.
  • Assists in solicitation and preparation of vendor bids and contracts.
  • Notifying retail staff of building maintenance.
  • Tour and inspect property condition in assigned territories.
  • Assist with set-up procedures upon acquisition of new properties.
  • Some travel required (10%).

Experience/skill set should include:
  • Exceptional computer skills and communication skills both oral and written: capable of using MS Office (Word, Excel, Asana)
  • Minimum 2 years of experience in commercial property management
  • Familiarity with retail/office commercial operations
  • Excellent customer service
  • Strong ability to work independently; Ability to research and problem solve
  • Ability to prioritize and meet deadlines
  • Strong attention to detail
  • Knowledge of architecture and construction a plus
  • Coordination of service orders and maintaining vendor relationships
  • Two to four year degree or sufficient experience required
